How To Create a Portable USB Version of Microsoft Office Starter 2010

This is a step by step guide on how to Create a Portable Office 2010 starter edition. Using this guide you can crate portable Office 2010 USB flash Drive and carry anywhere you want. This applies to windows vista and higher versions of Windows.

To Create Your Portable Office:

  1. You must Download and install Office Starter 2010 edition
  2. Start Microsoft Office To-Go Device Manager from start menu.( Start > All Programs > Microsoft Office Starter )
  3. Click on Start button and let Office To-Go Device Manager download required files.
  4. When you get screen asking for Select a device, insert your USB flash drive and select the flash drive from the selection screen & click on install.
  5. Now Office To-Go Device Manager will start installing Office Starter 2010 on selected USB drive.
  6. A message will be displayed when Device To-Go completed installation. click on Close button.
  7. Now Start Office.exe from USB flash drive to start portable Office starter 2010.

To create a signature in Outlook 2010:

  1. Click on the File tab on the top left hand corner and this will open the Account Information menu.
  2. Click the options button at the bottom of this window.
  3. In the Outlook Options window, select the mail tab and here you can see signature options available.
  4. Click on the Signatures button and this will open up the Signatures and Stationary window.
  5. In the Signatures and Stationary, add your signature for the email account you want. You can add multiple signatures if you like, and select which one to display.
  6. Once you have done, click on OK button and you can see the signature available.

How to Speed Up IMAP on Outlook 2010

This process will help you improve the performance of Microsoft Outlook with IMAP/Gmail:

  1. Press Ctrl+Alt+S to open your Outlook Send and Receive groups.Select the IMAP/Gmail account that you have configured with Microsoft Outlook and click Edit.
  2. *If the shortcut Alt + Ctrl + S doesn’t work in your version of Outlook, go to Tools -> Send/Receive, Send/Receive Settings, and then click Define Send/Receive Groups.
  3. The next screen will have all the default IMAP/Gmail folders (like All Mail, Trash, Inbox, Spam, etc) – For Spam and Trash folders, select “Download headers only”. For Inbox and Drafts, select “Download complete item including attachments.” Press OK.

*This prevents Outlook from downloading mails and attachments that are marked as Spam by Gmail*

4. when you press OK, it takes back to the previous Send and Receive groups screen.

5. Here adjust the time that Outlook should wait before checking for new email on IMAP/Gmail server.

Note: If you want Microsoft Outlook to load the default IMAP/Gmai Inbox folder during start-up, go to Tools -> Options (Other) -> Advanced Options and browse for your IMAP/Gmai Inbox folder.

How to Sync Calendars between Outlook and Gmail

To set up Google Calendar Sync:

  1. Make sure you’re using a supported operating system and Outlook version.
  2. Download Google Calendar Sync (version 0.9.4.0)
  3. Once a dialog box appears, click Save File. The downloaded file should open automatically. If it doesn’t, manually open it from your browser’s download window.
  4. Click OK to confirm that you’re aware this is an executable file.
  5. Read through the Google Calendar Sync Terms of Service, and click I Agree.
  6. Follow through the Installation Options and click Install to finish the set-up process.

Once Google Calendar Sync is installed on your computer, the Google Calendar Sync Settings window will appear.
In the Settings window, enter your email address and password and select the Sync Option you prefer.
You’ll also be able to set the time interval for syncing to occur. Please keep in mind that 10 minutes is the minimum time interval allowed.
After the initial set-up, you can access the Google Calendar Sync Settings window again by double-clicking the calendar icon in your Windows System Tray.

How to Sync Gmail with outlook 2010

The advantage of having setup Gmail IMAP is that when you read a mail or delete an mail, it is synchronized with both the web version of  Gmail and the Outlook.

Automatic Configuration

  1. First log into your Gmail account and open the Settings panel. Click on the Forwarding and POP/IMAP tab and make sure IMAP is enabled and save changes.
  2. Next open Outlook 2010, click on the File tab to access the Backstage view. Click on Account Settings and Add and remove accounts or change existing connection settings.
  3. In the Account Settings window click on the New button.
  4. Enter in your name, Gmail address, and password then click Next.
  5. Outlook will configure the email server settings Automatically.
  6. If everything goes correctly, the configuration will be successful and you can begin using your account.

Manual Configuration

  1. If the above instructions don’t work, then we’ll need to manually configure the settings. Go into Auto Account Setup and select Manually configure server settings or additional server types and click Next.
  2. Select Internet E-mail – Connect to POP or IMAP server to send and receive e-mail messages.
  3. Now we need to manually enter in our settings similar to theVideo Tutorial. Under the Server Information section verify the following.
  • Account Type: IMAP
  • Incoming mail server: imap.gmail.com
  • Outgoing mail server (SMTP): smtp.gmail.com
  1. Next, we need to click on the More Settings button.
  2. Click on the Outgoing Server tab, and check the box next to My outgoing server (SMTP) requires authentication. Also select the radio button next to Use same settings as my incoming mail server.
  3. In the same window click on the Advanced tab and verify the following.
  • Incoming server: 993
  • Incoming server encrypted connection: SSL
  • Outgoing server encrypted connection TLS
  • Outgoing server: 587

Note: You will need to change the Outgoing server encrypted connection first, otherwise it will default back to port 25. Also, if TLS doesn’t work.Click OK when finished.

Now test the settings, before continuing. it’s easier that way incase something was entered incorrectly. Test Account Settings by clicking the Next button.

If you entered everything in correctly, both tasks will be completed successfully, and begin using your account via Outlook 2010.

How to Configure Outlook 2007 for IMAP

Advantages of using IMAP

This is an easy way to Synch your Outlook E-mail and folders with your Phone using IMAP. The advantage of Using IMAP is that if I delete a message from my Phone it will also be deleted in Outlook, and any other device that is configured with IMAP E-mails.

Another advantage is that all your E-mails are stored in the Web mail server, so if you need to Re-format your computer or loose your phone, you are never loosing your emails or folders. if you configure your outlook or email as POP your emails will be stored in a .PST file in your computer. Meaning you always have to backup your E-mails which is the .PST file.

What is IMAP?

IMAP, or Internet Message Access Protocol, lets you download messages from your Web mail servers onto your Computer or phone so you can access your mail with a program like Microsoft Outlook or Apple Mail, even when you aren’t connected to the Internet.

IMAP, creates a constant connection between mail clients (desktop and/or mobile) and Web mail.

What’s the difference between IMAP and POP?

Unlike POP, IMAP offers two-way communication between your web mail and your email client(s). This means when you log in to Outlook mail or Web mail using a web browser, The actions you perform on Outlook email clients or Web mail (ex: putting mail in a ‘work’ folder) will instantly and automatically appear on the mobile device  (ex: it will already have a ‘work’ label on that email the next time you sign in).

IMAP also provides a better method to Sync your mail from multiple devices. If you check your email at work, on your mobile phone, and again at home, IMAP ensures that new mail is accessible from any device at any given time. So if you Delete an E-mail through your phone. it will also be deleted on your work e-mail and at home.

Clear the Auto-Complete Email Address in Outlook

Outlook 2003 has an automatic completion for any email address that you try to type into the To or CC fields. This feature does not pull from the contacts or address book. The problem comes in when you put in a bad address, and then every time you go to type in the email address, the incorrect one appears in the auto complete list.

The easiest way To fix this problem is:

  • Start typing in the address that shows up incorrectly.
  • Hit the Down arrow key to select the auto completed address.
  • Hit the Delete key to delete the auto complete address

Add a Background Picture to an Email in Outlook 2010

In Outlook 2010 you can assign any picture as the background to an email.

You should use this feature with caution, of course, since it will increase the size of the email and if you choose a really obnoxious image it will also annoy whoever you are sending the email to.
Note: This feature is different from the Stationery feature in Outlook, which we’ll cover at another time.

1. Open up a new email, click on the Options tab and then the Page Color drop-down button, and then the Fill Effects item at the bottom of the menu.
2. You can use the Textures or Patterns on the various tabs if you like, although none of them are that great.
3. Or you can choose a particular picture from the Picture tab by using the Select Picture button to browse and find a file. You’ll want to make sure to choose an image that can be tiled, and also make sure that it’s small since it’s going to be included in the email.
4. you want to choose a background image that can tile and is either mostly dark or mostly light colored.
5. you should always use this feature with caution. Nobody wants to get some gigantic picture as the background image for an email.

Use Hotmail with Microsoft Outlook 2003 or 2007

If you are still using Hotmail but would prefer to access your email from a desktop client, then you might be interested to know that Microsoft has released a connector that will allow you to send and receive Hotmail or Office Live Mail through Outlook 2003 or 2007.

Installation

  1. Exit Outlook.
  2. Download the Microsoft Office Outlook Connector.
  3. When prompted to open or save the file, click Open.
  4. When prompted to run the software, click Run.

Note You may see a security prompt, depending on which operating system or Web browser you use. If you see such a dialog box, you must click the option to continue with the installation.

  1. Follow the instructions on your screen to complete the installation.
  2. The next time you start Outlook, you are prompted to configure the Outlook Connector. Enter the following information:
    • Your e-mail address
    • Your password
    • Your name as you want it to appear in the receiver’s Inbox
  3. Click OK.

After Outlook opens, your Windows Live Hotmail account appears in the Navigation Pain

Add Hotmail & Live Email Accounts to Outlook 2010

Here’s how to integrate Hotmail with Outlook.

Outlook 2010 works with a wide variety of email accounts, including POP3, IMAP, and Exchange accounts. The only problem with POP3 and IMAP accounts is that they only sync email, but not your calendar and contacts like Exchange does. Hotmail, however, lets you sync your email, contacts, and calendar with Outlook with the Hotmail Connector. This lets you keep all of your PIM data accessible from everywhere. Enable Read and Delivery Receipt Confirmation on Outlook 2010

When sending an e-mail, you can request a return receipt. This is a message that will let you know that your e-mail was delivered. You can either set this option on individual e-mail messages, or as a global option to apply to all e-mail sent.
